General Description of Duties

This position performs entry level administrative work in support of the law enforcementfunctions of the agency. The majority of duties involve verifying andscanning law enforcement related documents, correctly routingphone calls, handling service of process and summons/subpoenapaperwork, and balancing and preparing daily receipts for deposit. This position adheres to the agency core values of honesty and integrity, accountability, teamwork, trust and respect and commitment to excellence. To be successful in this position, the employee must demonstrate competency in data entry and retrieval skills, time management skills, basic to intermediate computer skills, general communication skills (both written and oral), inter-personal skills, customer service skills and problem solving skills.

Essential Duties

  1. Ability to politely answer calls, route calls to appropriate agency members, correctly write down all pertinent information, and forward to the appropriate member.
  2. Ability to date and/or time stamp all incoming mail and correctly distribute the mail to the appropriate units or agency member(s).
  3. Ability to correctly organize and prepare all required service of process paperwork.
  4. Ability to correctly balance the daily receipts and prepare the receipts for deposit.
  5. Ability to provide assistance to the public in a timely, polite, and efficient manner.
  6. Ability to, when given returned summons and/or subpoenas, correctly distribute and file the returns.
  7. Ability to, whengiven monies received and/or disbursed, accurately record and maintain all such transactions on a daily basis and accurately calculate monthly totals.
  8. Ability to correctly retrieve warrant information from the Criminal Justice Information Services (CJIS) computer and relay the requested information to the requester in a timely manner.
  9. Ability to serve criminal summons' to individuals and correctly inform them of court date, room number, and time of appearance.
  10. Ability to provide professional customer service skills to both the public and agency members.
  11. Ability to work closely with others as a team.
  12. Ability to effectively communicate both orally and in writing.
  13. Ability to prepare and present clear, accurate, concise, and objective written and oral reports.
  14. Ability to meet requirements and maintain required licensures and certifications as well as agency required in-service training.
  15. Ability to adhere to the standards and principles of the agency's core valuesand professionally represent the agency.
  16. Ability to report to work timely, consistently and as scheduled.
  17. Ability to perform all functions of the job classification without posing a direct threat to the health or safety of other individuals in the work place.
Eligibility Criteria

  • High School Diploma or GED required;
  • Two (2) years prior clerical or administrative work experience required with experience in a corrections or law enforcement setting preferred.
  • Must be computer literate with prior Microsoft software experience in Word and Excel and other advanced programs preferred.
  • Must have and maintainFCIC/NCIC certification(or obtain within 30 days).
Necessary Special Requirements

  • Must be able to lift, push, carry or pulla minimum of 25 pounds independently.
