Are you a multi-tasker who works well in a fast-pace environment? If so, the Prince William County Department of Finance is the place for you. We are seeking qualified Customer Service Representatives in the Tax Administration Division. This position works as part of a team that is responsible for assisting customers in person and over the phone at one of our three tax counters. Candidates should have excellent oral and written communication skills that will be essential in assisting callers by responding to written requests for information, processing and filing tax forms and adjusting accounts.

Duties include: taking calls, assisting customers in person, updating accounts by moving vehicles in or out of the system, updating addresses, removing DMV stops when an account is up to date, contacting other jurisdictions to verify/confirm information, updating military accounts, processing correspondence, and other duties that may arise. Candidates must have customer service experience dealing with a high volume of public interaction and experience updating and researching data on accounts using an automated system.

This is a full-time position with a work schedule of 37.5 hours per week.

Preferred Skills: Excellent customer service and oral/written communication skills. Experience serving diverse customers. Cash handling experience. Bilingual (English/Spanish).

Starting Salary Range: $29,893.50 - $40,326.00

Performs responsible clerical and technical work involving the preparation, review, and/or maintenance of fiscal or related records, such as bills, invoices, purchase orders, tax returns, applications, insurance claims, considers and follows federal, state and local laws, codes, policies and procedures to perform work.

Work is performed under the regular supervision of Director or designee. Work direction may be given to office Assistant and Administrative Support Assistant I.

DISTINGUISHING CHARACTERISTICS: This level is characterized by routine data processing with a narrow focus within a program, limited programmatic knowledge and comprehension of accounting or payroll systems, and routine problem resolution.


Posts basic data to accounts and/or financial records;
Reconciles invoice quantities and charges with purchase orders or charges with services provided;
Prepares bills for customer accounts;
Audits paid invoices or bills for correct coding and for reconciliation with register or reports;
Gathers basic financial data and performs basic assessments for adjustments;
Provides financial data or information to the general public;
Assembles and verifies statistical, accounting or financial data;
Handles inquiries or complaints from the general public;
Review, audits and approves tax forms and applications for local, state, federal and/or personal property returns for completeness and accuracy;
Performs computations and post to statistical and other records;
Provides efficient and courteous service when processing citizen transactions;
Maintains office files, account records and a variety of other records;
Assembles and transmits payroll data or insurance claims;
Prepares/balances agency deposits or payment receipts;
Prepares vendor invoices for payment; obtains quotes; and prepares and codes purchase orders/requisitions;
Operates computer and other standard office equipment;
Posts information to automated system(s);
Creates simple spreadsheets;
Handles petty cash;
Operates cash register.


General knowledge of bookkeeping terminology and methods; general knowledge of standard office practices and procedures; some knowledge of applicable laws and codes pertaining to bookkeeping principles; some knowledge of state/local/federal rules and regulations as applicable to the job; some knowledge of routine accounting principles; skill in the operation of computers and standard office equipment; ability to maintain financial records and to prepare reports and statements; ability to make mathematical computations quickly and accurately; ability to post accounts with speed and accuracy; ability to operate efficiently a variety of office machines; ability to deal effectively and courteously with customers, co-workers and the general public; ability to supervise subordinate workers.

Education and Experience

Any combination of education and experience equivalent to graduation from high school, supplemented by courses in bookkeeping or accounting, and 1-2 years experience in the maintenance of financial or statistical records.

Special Requirements

May be required to pass a criminal background check if work assignment involves cash accountability and/or financial responsibility (prior approval of the Human Resources Director or designee is required).

Fire & Rescue Requirement:
Effective October 2012, mandated by the Virginia State Board of Health 12VAC5-31-540, VA EMS Regulations require a criminal background check conducted by the Central Crime Records Exchange and the National Crime Information Center via Virginia State Police; and a driving record transcript from the individual's state Department of Motor Vehicles.
